Job description

Overview & Key Responsibilities
The Cylinder Sales Secretary will be fully responsible for overseeing all secretarial and general duties for the cylinder sales department and assisting the Sales Manager. The key responsibilities for the role include but are not limited to:

  1. Devising and maintaining office systems, including data management and filing;
  2. Typing of general correspondence, Cylinder Agreements and spreadsheets;
  3. Assisting in compiling Tender Documents;
  4. Arranging travel, visas, and accommodation and, taking notes or dictation at meetings or providing general assistance during presentations;
  5. Screening phone calls, inquiries and requests, and handling them when appropriate;
  6. Meeting and greeting visitors at all levels of seniority;
  7. Organizing and maintaining diaries and making appointments;
  8. Dealing with incoming emails, faxes and posts, often corresponding on behalf of the manager;
  9. Carrying out background research and presenting findings;
  10. Producing documents, briefing papers, reports and presentations;
  11. Organizing and attending meetings and ensuring the manager is well-tender prepared for meetings;
  12. Liaising with clients, suppliers, and other staff;
  13. Raising of purchase orders on the JDE system;
  14. Running and compiling monthly figures and producing monthly reports.

Minimum requirements

  1. A Grade 12/ Matric;
  2. Relevant administration qualifications in secretarial/Admin skills qualifications will be advantageous;
  3. A minimum of 5 years experience as PA/ Secretary;
  4. Must have strong administration skills;
  5. Must be Computer literate (MS Office applications, in particular) with a high degree of proficiency in MS Excel and Outlook;
  6. Ability to work with accuracy and attention to detail is essential.
